Organizations and members

Create, join and switch organizations, invite people, approve join requests, and manage roles and ownership.

How organizations work

An organization is a separate workspace with its own members, tiers, teams, guardrails, prompts, settings, credits and usage. You can belong to several. The one selected in the organization switcher (top left of the console) is the active organization: console pages show its data, and changes apply to it.

  • Private organizations are invite-only.
  • Public organizations appear in Discover public organizations. Their join policy is either Admin approves (people request to join) or Auto-approve (join instantly).

A new organization starts with one default tier, so its members can make requests straight away. Edit it on the Tiers page.

Switch organization

  1. 1
    Open the organization switcher

Select the organization name at the top left. Each organization is listed with your role in it.

  2. 2
    Pick an organization

The console reloads the current page for that organization.

You can also select an organization card on the Organizations page. To find or create another organization, select Find or create an org at the bottom of the switcher.

Create an organization

Required role
Any signed-in user, unless your deployment has turned organization creation off. In that case the New organization button is hidden and you'll see "Organization creation is disabled by your administrator".
  1. 1
    Open Organizations

Go to Organizations and select New organization.

  2. 2
    Name it

    Enter the Organization name.

  3. 3
    Choose visibility

Select Private — invite only or Public — discoverable. For a public organization, choose what happens When someone requests to join: Admin approves or Auto-approve (join instantly).

  4. 4
    Select Create

You become the organization's owner and it becomes your active organization.

Join an organization

Join a public organization

  1. 1
    Search

On Organizations, type in Search public organizations…. Each result shows its member count and join policy.

  2. 2
    Join or request

Select Join to join an auto-approve organization immediately, or Request to join for one that needs approval. The result then shows Requested until an admin decides; you get a notification when they approve or decline.

You always join as a member.

Accept an invite

Invites arrive by email, and, if you already have an account, in the notifications bell. An invite is valid for 14 days and can be accepted only by the email address it was sent to.

  • From the bell, select Accept or Decline on the invite.
  • From the email link, when you're signed in: select Join followed by the organization name.
  • From the email link, without an account: select Create an account to join and sign up with the invited address. If you already have an account, sign in first, then reopen the link.

Leave an organization

On Organizations, select the leave icon on the organization's card and confirm. You lose access until you're invited back. The owner can't leave; transfer ownership first.

Invite people

Required role
Owner or Admin of the organization.

You can invite from Members (Invite by email) or from Users (Invite to your organization). Both work the same way.

  1. 1
    Enter an email address

As you type, matching accounts are suggested, marked has an account or already a member. You can't invite an existing member.

  2. 2
    Choose a role

Select member or admin. Ownership can't be given by invite.

  3. 3
    Select Invite

The invite is emailed, and its link is copied to your clipboard so you can also share it yourself. People who already have an account also get it in their notifications bell.

Pending invites are listed under the invite box with their role. Select link to copy an invite link again, or revoke to cancel it. Inviting the same address again replaces the earlier invite, whose link stops working, and restarts the 14-day expiry.

Adding people without an invite
Admins can also create accounts directly, or add an existing account to the organization, from the Users page. Those people join at once, without accepting anything.

Approve join requests

Required role
Owner or Admin of the organization.

Requests to join a public organization appear under Join requests on both the Members and Users pages, and you get a notification for each. Select Approve to add the person as a member, or Decline. They're notified either way.

Change visibility and join policy

Required role
Owner or Admin of the organization.

On Members, the Access card switches the organization between Private and Public. For a public organization, choose Admin approves requests or Auto-approve (join instantly). Changes save immediately.

Manage members and roles

Required role
Owner or Admin of the organization.

The Members page lists everyone in the organization, 50 per page, with a search box for name or email. The same controls are on the Users page.

TaskHowWho can do it
Change a rolePick member or admin in the member's role menu.Owner: on admins and members. Admin: on members.
Remove a memberSelect the trash icon and confirm. Their account isn't deleted.Owner: admins and members. Admin: members.
Transfer ownershipSelect Make owner and confirm. You become an admin.Owner only.

Nobody can change the owner's role or remove the owner, and you can't change your own role or remove yourself (use Leave on the Organizations page). When an action isn't allowed, the console doesn't offer it.

Transferring ownership is immediate
The new owner gets a notification and an email, and you drop to admin. Only the new owner can transfer it back.

Troubleshooting

"This invite has expired"

Invites last 14 days. Ask an admin to invite you again.

"Invite not found or already used"

The invite was accepted, declined or revoked, or a newer invite replaced it. Use the most recent invite email, or ask for a new one.

"This invite was sent to … Sign in as that user to accept it."

You're signed in with a different email. Log out and sign in as the invited address, or ask the admin to invite the address you use.

"This organization is invite-only"

The organization is private. Ask one of its admins for an invite.

"Transfer ownership before leaving"

An organization must always have an owner. Make another member the owner from Members, then leave.

I can't see Members or the Administration group

Both need the Owner or Admin role in the active organization. Check your role in the organization switcher.
