Credits
Credits are a prepaid dollar balance that spending draws down. Set one for the whole organization, give individual members their own allowance, and handle members' requests for more.
Credits compared with tier budgets
| Credits | Tier budgets | |
|---|---|---|
| Set on | Users page and Credit Requests | Tiers |
| Shape | A balance that goes down as requests are billed | A cap per time window (minute, hour, 6 hours, day) |
| Refills | Only when an admin tops up, resets or sets a new limit | Automatically when the window resets |
| Error when used up | 402 credit_limit_exceeded | 402 budget_exceeded |
Both apply at the same time: a request is refused as soon as any one of them runs out. Credits are optional; with no credit limit set, spending is limited only by tiers.
The two credit levels
- Organization pool: one balance that every member's spending in the organization draws from.
- Personal credit limit: one member's own allowance inside the organization. It's checked in addition to the pool, so the member stops when either runs out.
Both belong to one organization. A person's limit in one organization has no effect on their use of another. The last request before the balance runs out may go slightly over.
Set the organization's credit pool
The Credits card on the Users page shows the pool: how much is remaining of the limit and the percentage used. It reads No credit limit configured — usage is unlimited. until you set one. The balance is live since the limit was last set or reset, so it differs from the date-range totals in usage analytics.
- 1Select Edit
On the Credits card.
- 2Fill in one or both fields
Field Effect Set limit The pool's ceiling in dollars. Setting it for the first time fills the balance to the limit. Changing it later never raises the current balance; it only lowers the balance if it's above the new limit. Top up Adds this amount to both the balance and the limit. A negative amount corrects a mistake; nothing goes below zero. - 3Select Save
Both fields are applied together.
Reset to limit refills the balance to the current limit, for example at the start of a new billing period.
Set a member's personal limit
- 1Open the member's menu
On the Users page, select ⋮ on their row, then Set credit limit.
- 2Enter the limit
In Set limit ($) — blank clears it. The dialog shows how much they've used of their current limit.
- 3Select Save
The member's balance is set to the full new limit. Leaving the field blank removes the personal limit, so only the pool applies.
Reset to limit refills the member's balance without changing the limit. To set or clear the same limit for many people, see Set credit limits for many people.
Credit requests
Ask for more credits (members)
- 1Open My Usage
Go to My Usage with the organization selected.
- 2Select Request Credits
Optionally add a Note (up to 500 characters) explaining why.
- 3Select Send request
The organization's owner and admins are notified. The button changes to Request pending until they decide.
You can have one open request per organization. You get a notification and an email with the outcome; an approval tells you your new limit.
Review requests (admins)
Open Credit Requests from the Administration group. Pending requests are grouped by day, newest first. Each shows the requester, what they've used of their current personal limit (or No personal limit yet), and their note.
- Select Add credits, enter the New limit (pre-filled with their current limit) and select Grant. This sets their personal limit to that amount and refills their balance to it.
- Select Decline to close the request without changing anything.
The organization pool isn't changed by either action.
Troubleshooting
Requests fail with 402 credit_limit_exceeded
The error's scope is org when the pool is empty and member when the person's own limit is. Top up or reset the pool, or raise or reset the member's limit.
"No credit limit is configured for this organization"
Reset to limit needs a limit. Set one with Edit first.
"That member is no longer in this organization"
The requester left the organization while their request was pending. The request can't be granted.
